The Stock Administration module gives you a centralized view of your company’s trustee-managed equity data, including option pool information, beneficiaries, grants, exercises, cancellations, vesting events, grant letters, and trustee reports.
How Is the Data Updated?
All data displayed in the Stock Administration module is extracted from the trustee database and reflects the information maintained by the trustee.
The module is therefore primarily a view and management interface — changes to the underlying trustee records are performed by your company’s altshare Account Manager.
Where supported, you can submit requests and information directly through the platform. These requests are sent to your Account Manager for processing. Once the trustee records are updated, the changes will automatically be reflected in the platform.
Important: The data displayed in the Stock Administration module is synchronized with the trustee database, helping ensure that the information you see in altshare matches the trustee records.
View Option Pool Data
At the top of the module, you can view an overview of your company’s option pool, including:
- Total Pool
- Allocated Options
- Unallocated Options
The accompanying pie chart provides a visual breakdown of the option pool.
You can change the chart view to analyze the data based on:
- Pool Status
- Grant Status
This gives you a quick overview of how your option pool is currently distributed.
Review Grants and Beneficiary Data
The main table provides a detailed view of your company’s equity activity and can be viewed by several categories.
Beneficiaries
The Beneficiaries view summarizes grant information for each beneficiary.
How to View a Beneficiary’s Details
- Locate the relevant beneficiary.
- Click the beneficiary’s name.
- A detailed summary of the beneficiary’s equity data will open.
The beneficiary view includes:
- A summary of their equity data
- A visual pie chart
- A summarized grants table containing all grants associated with that beneficiary
This allows you to review an individual beneficiary’s complete grant position in one place.
How to Submit a Beneficiary Termination
You can submit a termination request directly through the platform for processing by your Account Manager.
To submit a termination:
- Locate the relevant beneficiary.
- Click the three dots (⋯) next to the beneficiary’s name.
- Select Terminate.
- Enter the relevant termination date.
- Add remarks, if needed.
- Click Submit.
The termination request will be sent directly to your Account Manager for processing.
Once the termination is updated in the trustee database, the updated information will automatically be reflected in the platform.
Note: Submitting a termination through the platform sends a request for processing; it does not directly modify the trustee database.
Note: After a termination, you may see two cancellation entries for the same grant. This is expected: the first reflects the unvested options cancelled on the termination date, and the second reflects any remaining unexercised options cancelled at the end of the exercise period.
Grants
The Grants view displays each individual grant as a separate row, together with its relevant grant details.
Use this view when you need to review information at the individual grant level rather than by beneficiary.
Orders
The Orders view displays transactions related to:
- Option exercises
- Sales of shares
This allows you to track relevant exercise and sale activity from one centralized table.
Cancellations
The Cancellations view displays option cancellations recorded in the trustee database.
Export Table Data
The table can be easily exported to Excel.
Click Export to Excel to download the displayed data for additional analysis, reconciliation, or internal reporting.
Upcoming Vesting Events
The Upcoming Vesting Events table provides visibility into future vesting activity.
The table displays upcoming vesting events according to:
- Vesting Date
- Quantity
This allows you to anticipate upcoming vesting events and better understand changes to employee equity over time.
Export Reports
You can generate and export trustee-related reports directly from the platform.
How to Export a Report
- Click Reports.
- Select the required report.
- Choose the relevant date or other applicable report criteria.
- Click Export.
The requested report will be generated and available for download.
Commonly Used Reports
- Grants Status as of Date – Displays grant data as of a selected date. This is the most commonly used report for reviewing the company’s grant status at a specific point in time.
- Grants and Vestings – Provides the full vesting schedule and can be filtered by beneficiary and date range.
- Cancelled By Dates – Displays cancelled grants, including their cancellation dates and reasons.
- Exercised By Dates – Displays option exercises within a selected date range.
- eSign Status Report – Displays the current signing status of grant letters, including completed and pending signatures.
Manage and Sign Grant Letters
The Grant Letters section allows you to track the signing status of grant letters and complete required signatures directly through the platform.
Grant letters are organized according to their current status:
- Pending Manager Signature
- Pending Employee Signature
- Signed
How to Sign Grant Letters
The assigned signing manager can sign grant letters directly through the platform:
- Click Grant Letters.
- Open the Pending Manager Signature section.
- Select the relevant grant letter or multiple grant letters.
- Click Sign.
- Complete the signing process.
Once the manager has signed, the grant letter will move to the next applicable stage of the signing process.
How to Download Signed Grant Letters
Completed grant letters can be downloaded from the Signed tab.
You can:
- Download an individual grant letter, or
- Select multiple grant letters for a bulk download
Signed grant letters are available as PDF files.
Review and Sign ITA 146/156 Reports
The platform allows you to review and sign the required 146/156 reports for submission to the Israel Tax Authority (ITA).
To manage these reports:
- Click 146/156.
- Locate the relevant quarterly or annual report.
- Review the report.
- Complete the required signature.
Make sure the report information is reviewed carefully before signing.
Submit Files to the Trustee
You can securely submit relevant files to the trustee directly through the platform.
How to Submit a File
- Click Submit Files to Trustee.
- Select the relevant file type.
- Upload the required file.
- Add comments or additional information, if needed.
- Submit the file.
This provides a centralized way to transfer trustee-related documentation without managing the process separately outside the platform.
Manage Stock Administration Data by Date
The Stock Administration module is managed along a timeline, allowing you to review your trustee data as of a specific date.
By default, the module displays data as of today’s date.
To review historical information:
- Select the date displayed in the module.
- Select the date you want to review, whether in the past or future.
The displayed data will automatically adjust to reflect the selected point in time.
This allows you to review the company’s option pool, grants, beneficiaries, and other trustee data based on their status at a particular date.
Important to Remember
The Stock Administration module reflects the trustee database. Use the platform to review your equity information, complete supported actions, and submit requests or documents to your Account Manager and trustee.
Where an update requires changes to the underlying trustee records, your Account Manager will process the update, and the revised information will automatically appear in altshare once completed.
