Uploading your cap table via our AI-powered Excel import is designed to be fast and intuitive. Simply upload your existing cap table file in Excel format, and the system will automatically analyze its structure, identify key fields (such as shareholders, share classes, and ownership data), and map them into the platform. You’ll then be guided through a short validation step where you can review and adjust any mappings if needed, ensuring accuracy before finalizing the import. Once confirmed, your cap table is seamlessly created within the system, ready for further analysis, modeling, and ongoing management.

How to import a Cap Table from Excel into altshare – Step-by-Step instructions
- Navigate to Cap Table in the platform
- Select Upload File
- Drag and drop your Excel file into the designated upload area or upload from a folder (make sure the file is not open)
- If your file contains multiple sheets, select the relevant sheet
- Complete the upload process
- Let the AI automatically detect and map the cap table structure
- Review and correct mappings if needed in the validation process
- Approve the import
- Review the created cap table in the system
Important Before Uploading
To ensure a smooth and successful upload:
- Close the Excel file before uploading
(The system cannot upload files that are open) - Keep the file simple
(Avoid complex formulas or macros) - If your file includes formulas:
Copy the final values into a clean Excel sheet before uploading - Make sure your table includes clear column headers
(e.g., Shareholder Name, Share Class, Number of Shares) - If your file contains multiple tables:
Upload only the relevant cap table data (preferably in a separate file)
How to Review and Validate Your Imported Cap Table
After uploading your file, altshare performs a series of validation checks to ensure your cap table data was imported correctly.
You’ll go through four key validation steps:
Step 1 - Shareholder Identification
Verify that the platform correctly identified the shareholder column and stakeholders.
- Confirm the correct column is marked as Shareholder
- If incorrect, click Change and select the right column
Next, review stakeholder classification:
- Ensure each stakeholder is categorized as either:
- Individual or Company
- You can manually adjust the classification if needed
If any fields were incorrectly marked as shareholders:
- Remove the ✓ mark from those fields
Important: Option-related data will not be marked as shareholders, as this information is automatically synced from the Equity Plans module.
Step 2- Common / Ordinary Shares Validation
Confirm that the correct column is identified as Common / Ordinary Shares.
- If the column was identified incorrectly, click Change
- Select the appropriate column
Step 3 - Cap Table Column Classification
Review how each column was classified:
- Mark columns as Share Class if they represent:
- A fundraising round
- Mark columns as Not a Share Class if they represent:
- Options
- Totals
- Other non-equity data
This step ensures the platform correctly understands your cap table structure.
Step 4 - Fundraising Round Information
Update or confirm the details for each fundraising round:
- Date of the round
- Share price
If this information is not available:
- Click Skip and update it later
Tip: Taking a few minutes to carefully review each step ensures your cap table is accurate and structured correctly from the start.
